How do I set up a grace period for lates?
A grace period gives employees a few minutes after their shift starts before they are marked late (Late Grace), and a few minutes before it ends before they are marked undertime (Undertime Grace). It is set on the shift, so everyone on that shift gets the same grace.
Add a grace period to a new shift
From the sidebar, click “Attendance” to expand the menu, then select “Shift Management”.
Click “Create Shift” at the top-right corner.
In the “Create and Assign Shift” window, set the schedule and breaks, then open “Advanced Settings”.
Under “Grace Periods”, turn on “Late Grace” and type the number of minutes, for example 10. To also allow a few minutes when clocking out early, turn on “Undertime Grace”.
Click “Next”, select the employee(s), set the Effectivity Date, then click “Assign”.
Add a grace period to a shift you already use
On Shift Management, click the shift to open its panel, then click “Edit Shift”.
Open “Advanced Settings”, turn on “Late Grace” and type the minutes.
Click “Next”. The employees on that shift move to the updated shift. If anyone has to stay on the old version because of an overlapping shift, Trellis lists their names.
How the grace period affects pay
Example: the shift is 7:00 AM – 4:00 PM with a 10-minute Late Grace and a 10-minute Undertime Grace.
Clock-in at 7:10 AM or earlier: on time. Nothing is deducted.
Clock-in at 7:14 AM: 4 minutes late. The first 10 minutes are still paid, so only the 4 minutes after the grace are deducted.
Clock-out at 3:50 PM or later: no undertime. Nothing is deducted.
Clock-out at 3:46 PM: 4 minutes of undertime. Only those 4 minutes are deducted.
This works the same on fixed monthly pay and hourly pay. The late and undertime minutes shown in Attendance are the minutes deducted on the payslip.
